Assistant Property Manager

Job Summary

This Assistant Property Manager (APM) will communicate with their current and prospective residents and ensure their experience is exceptional. APM’s will be responsible for tracking down all resident required documentation to lease a property, verifying references, creating potential resident packages for approval, sending denial letters, sending resident packages, following up with residents on their experience, scheduling property inspections, working with residents on extending their lease or coordinating resident move-outs. This position reports directly to the Property Manager and/or Regional Manager and works collaboratively with many constituents across the organization.

*This requires a strong leasing background and will be handling lease up in addition to assisting the property manager at the site.*

Essential Duties & Responsibilities

  • Support potential residents in uploading all application documents.
  • Verify application the fee was received.
  • Processing rental applications within 1 – 2 days of submittal. All initial contacts with references need to be completed by the end of the first business day of receiving the application.
  • A run background check (Credit/criminal/eviction) reports on potential residents and defines lease terms.
  • Verify rental history, length of employment, and income for all applicants over the age of 18.
  • Ensure that all application approvals/denials meet both fair housing guidelines.
  • Accurately prepare lease documents for review and signature by residents and PM.
  • Generate/send denial letters to declined applicants within 5 business days via email/mail.
  • Schedule move-in dates.
  • Ensure that the resident, lease, charge, and property data information is accurately entered.
  • Upload all lease-related resident documents within 1 business day of receiving.
  • Contact Resident and Leasing Agent to schedule a routine inspection
  • Verify with the Regional and/or Property Manager if residents will have their lease extended.
  • Obtain approval and send proper lease change notices (30, 60- & 90-day notices of rent increase, etc.) prior to amending any lease item when necessary.
  • Define lease renewal with residents and have the Property Manager execute the Lease prior to lease expiration dates to minimize month-to-month contracts.
  • Notify residents that their lease will or will not be extended.
  • Address complaints to resolve problems
  • Maintain community records in an organized and efficient manner.
  • Direct the flow of office traffic.
  • Document resident communications
  • Lease up of apartments
  • Accurately complete weekly and monthly reports in a timely manner.
  • Ability to keep occupancy high and units leased
  • Assigning maintenance work orders.
  • Collect tenant payments.
  • Process invoices.
  • Updating legal tracker
  • Supervision of site staff members in absence of Property Manager.
  • Any other tasks as required by your immediate supervisor.
  • This position requires superior customer service and the ability to exemplify professionalism and actively work as a team.

A. Education

  • High School diploma or GDE (accredited)
  • Bachelor’s degree is preferred

B. Certificates

  • a. Valid driver’s license

C. Other Knowledge, skills, or abilities

  • Minimum of two years prior residential management or multi-family experience required
  • Must be bilingual
  • Yardi experience is required
  • Strong leasing experience required
  • Interpersonal communication skills
  • Basic financial acumen
  • Demonstrated attention to detail
  • Computer skills (Property Management Software (Yardi, OneSite); Spreadsheet Software (Excel); Word Processing Software (Word); Electronic Mail Software (Outlook)
  • Other duties as assigned by Property Manager
